Retrieval and Destruction

Through the use of the correct bar code number, the location and retrieval of cartons/files or EDP media are immediate. Retrieval services are as follow:

  • Retrieve by us and picked up by your staff.
  • Accesed on site, prepared before you arrive, and delivered to our air conditioned viewing room.
  • Delivered/picked up by our service staff to and from your office, either through our regular or express service.
  • Destruction dates of any EDP media or records will be programmed into our system and will be issued a time-triggered alert. You may then either remove the records or have them destroyed in our facility in the presence of your authorized representative.

 

Reports

To keep you posted on the movement of your company profiles/EDP media while in our custody, we will generate the following reports regularly:

  • A monthly-transaction report* which will reflect the frequency access to the media or records by our representative(s).
  • A monthly inventory report* will be submitted to you which will let you know what media or records are presently stored at our Records Center, including all movement -- in and out.

*Reports can be customized to suit your needs and may be submitted in hard or soft format.

 

Billing

Our normal billing cycle is quarterly in advance. However, annual billings (pre-billing) can also be arranged. To suit your needs, we can also bill your various departments, branches, or cost centers separately.

 

Contract

A contract will be entered into between us, which will state the various terms and conditions agreed upon for a successful ongoing partnership. The terms of the contract will be for a mutually agreed period, which may be renewed or extended upon agreement between the two parties.

 

Insurance

Our clients may provide insurance through their own insurers, in which case we would request a copy of their policy. Alternatively, we would arrange insurance cover on the client's behalf, on an agreed value basis. As a policy, we do not store uninsured goods of commercial value. Should the client opt not to insure, we require certification that the records have no commercial value.
